    Cosentino, a multinational company, operates seven sites in the UK Cosentino is known for its innovative products such as Dekton, an ultra-compact and high-performance surface that offers endless design possibilities for outdoor and indoor spaces. Precision FM was engaged to provide comprehensive hard and soft Facilities Management services at Cosentino locations in the UK, Ireland, and Scotland, including planned preventative maintenance and cleaning. The project aimed to enhance service delivery, optimise resource allocation, and reduce costs.

    The Problem

    During the tender process, it was assumed that the original FM supplier was delivering all cleaning services. However, it was later discovered that the cleaning services were sub-contracted to local providers in each area. Further to this it became apparent there were no maintenance records at either of the sites and incumbent contractors were not able to provide us with any maintenance record. This led to several issues such as Failure of cleaners to undergo the Transfer of Undertakings (Protection of Employment) (TUPE) process, causing reluctance among staff to migrate to Precision FM. Insufficient mobilization time of only four weeks, which became apparent only two weeks into the project and there were discrepancies between the advised hours and the actual hours required for cleaning at each site.
    The project also revealed challenges in the hard FM aspect, such as:

    • Contractors not meeting service level agreements (SLAs) in terms of Precision FM standards, insurances, and charges that were not at market rates.
    • Difficulties in identifying the responsible party for fire and security systems, as multiple specialist suppliers were involved.
    •  The presence of multiple layers of subcontracting, markups, and management fees, increasing costs for the client.
    • No Visible maintenance records at either of the sites.

    Solution: Efficient Planning & Coordination

    The first step in resolving the inefficiencies was to firstly conduct in-depth site condition surveys which our team conducted within the first week of mobilisation to attain a record of all assets and the condition of those assets. Secondly, we conducted a thorough gap analysis. The analysis encompassed an in-depth review of the existing contractors, their performance metrics, and the service requirements.

    This systematic evaluation enabled the identification of critical gaps in the contractor base, including but not limited to: Insufficient contractor coverage in certain service areas. Inconsistent performance levels of existing contractors. Limited availability of contractors during peak service demand. Inadequate specialised skills and expertise for specific tasks.
    Through conducting thorough site condition surveys, we established a strong PPM plan for all assets at each site. Implementing Precision FM’s pre-vetted contractor network was crucial in addressing Cosentino’s contractor base issues. The integration of suitable contractors resulted in higher service efficiency, improved customer satisfaction, and a competitive edge. Emphasising a solution-centric approach allowed us to leverage external expertise, enhancing our internal capabilities and overall performance.

    Result: Successful Mobilisation and a raised business standard

    We took an innovative approach to setting up contracts at the local level and novating suppliers through direct engagement with the Facilities team at the nominated specialist provider. By taking away bureaucratic layers and appointing a dedicated contact, this has enhanced efficiency, responsiveness, and accountability while delivering substantial cost reduction benefits to Cosentino. With PFM, clients can expect a tailored, agile, and cost-effective facilities management solution that surpasses all expectations.

    The implementation of Precision FM’s solutions yielded several positive outcomes, including:

    • Increased control and transparency in the cleaning services, with direct employee contracts established at five out of ten sites.
    • Improved compliance with SLAs, precision standards, and market rate charges through the careful selection of contractors.
    • Simplification of fire and security system management, with a single point of contact established the specialist provider.
    • Reduction in costs through the elimination of unnecessary subcontracting layers and management fees.

    By addressing the issues related to cleaning services, hard FM, and fire and security systems, Precision FM successfully streamlined the facilities management services at Cosentino seven sites in the UK. The project resulted in improved service quality, enhanced cost-efficiency, and strengthened relationships with both the client and subcontractors.
